This guide is for anyone managing a small office or department where the Epson ET-2800 (or similar model) is connected to the network but seems to have a mind of its own when it comes to scanning to a computer wirelessly. You've probably printed fine from your phone or laptop, but when you need to scan a signed contract or a receipt for accounting, the printer just sits there blinking. Or you get a 'scanner not found' error ten minutes before a deadline.
I've been there. I manage procurement for a 35-person architecture firm, and our Epson ET-2800s are workhorses for quick prints and color drafts. But for the first 6 months, I was the only person who knew how to get the wireless scan to work. Everyone else just used the USB cable—which defeated the whole purpose of a network printer.
Here's the 5-step process I documented after our third 'emergency' scan request during a client presentation. It's not complicated, but there's one counterintuitive step most people skip.
Step 1: Verify the Printer's Wireless Connection (Don't Assume It's Connected)
This sounds obvious, but it's the step everyone in our office skipped. Just because you can print wirelessly doesn't mean the scan function is using the same connection. I've seen this trip up two separate teams in our firm.
What to do:
- On the printer's touchscreen, go to Setup > Network Settings > Wi-Fi/Network Status.
- It should display an IP address (something like
192.168.1.105). Write it down. Actually write it down. Not 'I'll remember it later.' Write it down. - If it doesn't show an IP address, or shows '0.0.0.0', the printer isn't on the network. Use the Wi-Fi Setup Wizard on the printer to reconnect it.
Here's the thing: I almost skipped this step once because the printer was showing a solid Wi-Fi icon. Turns out, the icon just means the Wi-Fi radio is on. Not that it's actually connected to your network. The solid icon is like the lights being on in an empty house—looks functional but nobody's home.
Step 2: Install the Epson Scan 2 Utility (The Official Way)
Windows usually does a pretty good job of picking up network printers for printing, but scanning is a different story. The built-in Windows Scan app might detect the printer, but in my experience, the Epson software is more reliable for the ET-2800.
Check if you already have it:
- Go to Start Menu and type 'Epson Scan 2.' If you see the application, skip the download.
- If not, download the latest version from Epson's official support site (epson.com/support). Search for 'ET-2800' and navigate to the 'Downloads' section for your operating system.
I wish I had tracked how many hours we lost using the generic Windows driver for scanning. What I can say anecdotally is that it caused about 80% of our 'scanner not found' errors. The Epson utility handles the network protocol better.
Step 3: Configure Epson Scan 2 for Network Connection (The Counterintuitive Step)
This is the step almost everyone in our office got wrong. After installing Epson Scan 2, you'd think it would automatically find the printer on the network. It doesn't always.
Here's what to do:
- Open Epson Scan 2.
- Click the gear icon (Settings) in the top-right corner.
- Select Network from the left menu.
- Click Add or Search Again. Wait about 30 seconds.
- If the printer shows up, select it and click OK. Done.
- If it doesn't show up—this is the counterintuitive part—manually enter the printer's IP address you wrote down in Step 1.
Most people give up when the automatic search fails. They assume the printer isn't compatible or the network is broken. But the Epson software has a manual entry option precisely for this scenario. The search function sometimes fails on networks with static IP settings or complex subnet masks.
Entering the IP manually has worked for me every time. The only risk is if the printer gets a new IP later from DHCP. In our office, I set a reserved IP in the router settings for our three ET-2800s. It took me 10 minutes and saved a recurring headache.
Step 4: Test the Scan with a Small Document (Before You Need It)
Saved $50 on a rush job once by skipping this step. Ended up spending $400 on a reprint when the scan quality wasn't high enough for a client booklet.
What to test:
- Scan a single page of text using the default settings. Save it as a PDF.
- Scan a color photo or graphic at 300 DPI. Check that the colors look right and the file isn't corrupted.
- Try a multi-page scan (if you use the document feeder). This is where most hidden issues show up—pages out of order, blank pages, or jams that stop the scan halfway.
I still kick myself for not doing this earlier. In Q3 2024, we had a client presentation and the scanned files for the project portfolio came out blurry on the second and third pages. The issue was a slightly misaligned document feeder, which I could have fixed in 2 minutes if I'd tested ahead of time. Instead, I spent 45 minutes rescanning everything.
Standard document scan resolution is 300 DPI (industry standard for readable text and decent graphics). For archiving contracts, 200 DPI is usually sufficient and saves file size. For anything that will be reprinted or shared as a high-quality PDF, use 300 DPI.
Step 5: Set the Scanner as Your Default Scan Device in Windows
This is a small step that creates a big difference in day-to-day use. If you don't set the Epson printer as the default scan device, your computer might default back to a USB-connected scanner or a fax modem when you use the 'Scan' button on the taskbar.
On Windows 11:
- Go to Settings > Bluetooth & devices > Printers & scanners.
- Click on your Epson ET-2800.
- Select Set as default.
- Make sure the 'Let Windows manage my default printer' option is unchecked. Otherwise, Windows might switch the default to a different device next time you connect a USB drive or something.
To be fair, this step isn't strictly necessary if you always scan from the Epson Scan 2 utility directly. But for one-click scanning from the Start menu or the taskbar, this setting saves time. It's a 30-second change that makes the workflow feel seamless.
Common Mistakes (What I Learned the Hard Way)
Mistake #1: Relying on the printer's front-panel scan button without software configured.
The physical 'Scan' button on the Epson ET-2800 only works if you have configured the destination on the printer itself (via the touchscreen's 'Scan to Computer' menu) AND the Epson Scan 2 software is running in the background on your computer. Otherwise, pressing the button does nothing. Most new users in our office tried this first and assumed the printer was broken.
Mistake #2: Using the wrong IP address.
If your router uses DHCP, the printer's IP might change after a power outage or router reset. This is why I recommend setting a reserved IP in the router settings for your printer. If you can't do that, at least check the IP before you start troubleshooting the software.
Mistake #3: Skipping the firewall check.
A few months ago, our IT team pushed a security update that blocked all network file sharing by default, including the port used by Epson Scan 2 (usually port 1515 or 139 for some models). The scanner showed as connected in the utility, but scans would fail halfway. If your scanner is 'detected' but scans fail, check your Windows Defender Firewall or corporate security software settings. You may need to open an exception for the Epson software.
Mistake #4: Forgetting to update the Epson Scan 2 utility.
Epson releases software updates that improve network compatibility. If you installed the software once years ago and never updated, it might not work with newer Windows updates. Check for updates in the Epson Support page. I make it a habit to check once a quarter.
Mistake #5: Not checking the network band.
The Epson ET-2800 only supports 2.4 GHz Wi-Fi, not 5 GHz. If your router is broadcasting both bands under the same SSID, the printer might connect to the 5 GHz band briefly and then drop off. In the printer's Wi-Fi setup, manually select the network and confirm it's the 2.4 GHz frequency when prompted. This solved a 'disappears randomly' issue for one of our offices.
