Epson Printer IP Address: A 6-Step Emergency Connection Checklist

If you're here because 'how to connect to printer' is suddenly the most important search of your day, you're in the right place. In my role coordinating emergency production for print-dependent businesses, I've handled more than 200 rush print jobs. The most common breakdown isn't a hardware failure. It's a lost connection: the computer doesn't know the Epson printer IP address, or it's using an old one.

This checklist is for the moment when a deadline is close and the printer is offline. Six steps, roughly 10 minutes, no 'restart-the-world' solution.

  1. Get the current IP address from the printer
  2. Put the printer and computer on the same network
  3. Add the printer by IP address
  4. Set the correct driver and port
  5. Run the right test print
  6. If it's still offline, rebuild the TCP/IP port

Step 1: Get the current Epson printer IP address from the printer itself

On most Epson printers, you don't need a computer to see the network data. Look for Setup, then Wi-Fi or Network Settings, then Network Status. On many models you can print a status sheet right from that menu. The sheet shows the IP address, subnet mask, and gateway.

If the IP address is 0.0.0.0, the printer isn't connected to Wi-Fi. Reconnect it before going further. According to Epson support documentation (epson.com, accessed January 2025), the exact menu path varies by model, but the status sheet is the quickest way to get a definitive answer.

Step 2: Put the printer and your computer on the same network

This sounds obvious, but it causes more emergency calls than dead hardware. The computer and the printer must be on the same subnet. In an office, that usually means the same Wi-Fi SSID and not the guest network.

One example: a teacher was trying to print final grade reports. She had a test grade calculator open, the classroom printer said 'offline,' and the meeting was in two hours. Her laptop was on the staff network segment; the printer was on the guest segment. Same physical network, different subnets, no connection. The fix was connecting her laptop to the same SSID, and it printed within a minute.

Also pay attention to 2.4 GHz vs. 5 GHz. Many Epson printers still use a 2.4 GHz radio. If your laptop is on the 5 GHz band, the printer may not show up in discovery. The IP address can still work if the router routes between bands, but when discovery fails, check the band first. Not ideal, but workable.

Step 3: Add the printer by IP address

Once you have the Epson printer IP address, you can add the printer manually. This is the step that separates people who get it done from people who wait for network discovery to notice the printer. (Usually it doesn't.)

On Windows:

  1. Go to Settings > Bluetooth & devices > Printers & Scanners.
  2. Click Add device.
  3. Select Add manually.
  4. Choose Add a printer using an IP address or hostname.
  5. Select TCP/IP Device and enter the IP address.

On macOS:

  1. Open System Settings > Printers & Scanners.
  2. Click Add Printer.
  3. Select the IP tab.
  4. Use IPP as the protocol, enter the IP address, and let macOS find the driver.

Don't add http:// before the numbers. Just dots and decimals. I've seen a typo in an IP address add a twenty-minute delay. Or rather, I've made that typo.

Step 4: Set the correct driver and port

Epson usually detects the right driver. If it doesn't, download the driver from Epson's official site. Third-party driver sites are an unnecessary risk.

Here's the overlooked part: check the port setting. In Printer Properties > Ports, there's a checkbox next to the port. On many Windows machines it's set to WSD or a stale IP address. The printer can be awake, the ink can be full, and the driver can be perfect, but if the port is wrong, every job goes to the void.

I have mixed feelings about WSD. On one hand, it makes discovery easy. On the other, it makes the port disappear after a network change. For a printer with a fixed IP, use a Standard TCP/IP Port. It's the difference between a printer you can find and a printer that actually prints.

Step 5: Run the right test print

If you're in an ordinary office, a one-page test is enough. But if you're running an Epson sublimation printer for t-shirts, don't finish the setup with a normal test page.

Print a nozzle check instead. A regular text test page can look fine even when one color channel is clogged. That doesn't matter for a memo, but it's critical for a t-shirt transfer. A clogged nozzle on a sublimation print means a wasted transfer sheet and a deadline that gets much tighter.

I remember a label job for a limited-edition rare beauty highlighter kit—the kind of product that sells out if the labels land on time. The operator printed a normal test page, the page looked fine, and then the actual label run had a missing color. The problem wasn't the printer's IP address; it was that the test wasn't the one that mattered. Good lesson, but we didn't get those twenty minutes back.

Step 6: If it's still offline, rebuild the TCP/IP port

You've done Steps 1-3 and the printer is still 'offline.' Don't uninstall the driver yet. Check the port.

  1. Open Printer Properties.
  2. Go to the Ports tab.
  3. If the port is marked WSD, remove it and create a new Standard TCP/IP Port.
  4. Enter the IP address from Step 1.
  5. Uncheck Query the printer if the driver keeps waiting.
  6. Apply, then try a test page.

So glad I checked the port before deleting the driver. Almost uninstalled and reinstalled everything—that would have cost another 40 minutes. It's tempting to think 'offline' means the printer needs a restart. But if the printer responds to the status sheet test and the port points to an old IP, restarting the printer won't help.

Other things worth remembering

If you're looking for a quick answer to 'how to connect to printer' and this is your first time adding a networked printer, don't assume the software CD is necessary. On current Windows and macOS, the built-in IP-based add is enough for most Epson models.

And the old 'local is always faster' idea? That comes from the era when printers were personal devices. Today, a network printer on a stable connection is usually faster and more available. USB remains a fallback, but it doesn't fix the underlying IP issue.
